How to Connect Your Email to Freightools
There are two ways to connect your email:
Traditional IMAP/SMTP setup
Connect with Microsoft Account (new method — easy and secure)
ATTENTION!
To connect via IMAP, you must have an IMAP-enabled email account. Ask your company admin if you are unsure.
Option 1 — Connect Using IMAP/SMTP
IMAP (Internet Message Access Protocol) keeps your email in sync between Freightools and your mail server. This means:
✔ Emails marked read in Freightools appear read in your inbox
✔ Replies sent from Freightools appear in your real email folder
✔ All changes are synchronized
To connect using IMAP:
Click on your User Name in the upper right corner of the Freightools screen and choose User Email Settings
Enter the following:
IMAP Server — your incoming mail server
SMTP Server — your outgoing mail server
Email Address — the email you want to connect
Email Password — your email account password
Click Update.

For Gmail, you may need to set up an App Password to allow third-party apps like Freightools to connect.
For Outlook/Office 365, you may need admin permission to allow IMAP connections.
Option 2 — Connect with Microsoft Account (New Method)
To make email setup easier, Freightools now offers a “Connect with Microsoft Account” option. This allows you to connect your Microsoft email (Office 365 / Outlook) with just a few clicks without entering IMAP/SMTP manually.
How it works
In the email connection section, click Connect with Microsoft Account.
A pop-up will appear asking you to sign in to your Microsoft account.
Enter your Microsoft credentials, and grant Freightools permission to access your mailbox.
Once authorized, Freightools will automatically connect your email and configure both incoming and outgoing settings.

Once your email is connected:
✔ You can send emails directly from Freightools
✔ Replies will sync back to your real inbox
✔ Freightools will keep emails in sync using IMAP rules

Troubleshooting Tips
Connection fails: Double-check your IMAP/SMTP server names and credentials.
App password needed: Some providers (like Google) require an app-specific password.
Office 365 accounts: If using Connect with Microsoft Account, make sure your admin allows third-party integrations.
